Presenter Guidelines

Speakers

  • Speakers should deliver their slides to conference organizers the day before the presentation; if that is not possible, they should deliver the slides to the organizers well before the start of the plenary session in the morning of their talk
  • Speakers should use the presentation filename assigned to them (refer to email)
  • Presentations may not contain any references to company names, brand names, or commercial logos.
  • Each session is designed to include time for a panel discussion after a set of short talks. The panel will include the speakers in that session. To allow sufficient time for the panel discussion, time limits will be strictly enforced. Speakers should note the amount of time they were allotted (refer to email) and ensure that they can complete the talk in the allotted time.
  • Speakers should arrive 15 minutes prior to the start of the session and coordinate with the session chair as appropriate.
  • Speakers are expected to be present for the duration of the session.

Posters

  • Posters will be displayed on the two main days of the conference: Saturday 23 November & Sunday 24 November. Posters must remain up the entire two days. There will be dedicated poster presentation sessions from 13:00 to 14:00 on both days.
  • Posters should be set up before 08:00 on Saturday 23 November. They may be set up on Friday 22 November between 09:00 and 19:00 or on Saturday 23 November between 07:00 and 08:00. Please kindly do not remove posters before 17:00 on Sunday 24 November (exceptions may be considered due to early flight departures).
  • Posters must be removed between 17:00 and 19:00 on 24 November. Please do not leave the presentation mounted in the poster session area. The Forum organizers will not be responsible for posters and materials left on poster boards after the stated hours.
  • Each poster will be displayed on a poster stand that can accommodate one to three posters per side. Presenters must place their posters in pre-designated spots (identifiable by the abstract number).The special tape or push pins required to hang the posters will be provided.
    • Poster dimensions must be at least 70 cm (width) x 100 cm (height) and cannot exceed 100 cm (width) x 160 cm (height).
    • Posters may not contain any references to company names, brand names, or commercial logos. (As per WHO regulations, any such references found will have to be immediately covered).
    • The poster presentation is intended to communicate information rapidly. It is supposed to represent a well-designed, eye-catching, and engaging display of information. Therefore, information must be presented in an easy-to-comprehend fashion and readable from approximately five feet away.
  • One of the poster’s authors is expected to be at the designated poster area at least 10 minutes before their assigned poster session begins. It is highly recommended that poster authors also be available outside their designated session, during the lunch hour and coffee breaks.

Workshops

  • Workshop coordinators are responsible for coordinating the speakers in the workshop, for bringing any materials that will be provided, for managing the discussion and provided a summary of the outcomes of the workshop to the Forum organizers.
  • Translation will not be available.
  • Presentations may not contain any references to company names, brand names, or commercial logos.

Films

  • Films will be 2-3 minutes in duration.
  • Each presenter may give a brief (one minute or less) introduction before his/her video. This introduction is optional.
  • Films may not contain any references to company names, brand names, or commercial logos.
  • After all films have finished playing, film presenters will sit on a panel to answer questions and participate in a discussion session.
  • Film presenters are asked to bring a backup copy of the film (on a USB or DVD) to the Forum.
  • Film presenters should arrive 15 minutes prior to the start of the film viewing and coordinate with the session chair as appropriate.
  • Film presenters are expected to be present for the duration of the film viewing and discussion.

Exhibits

  • Exhibitors should look for their assigned table number and setup the material between 09:00 and 19:00 on Friday 22 November or 07:00 and 08:00 on Saturday 23 November.
  • Each exhibit table will have a chair and an electrical outlet. Tables have the following dimensions: 1.5m (length) x 0.75m (width)
  • Exhibits may not contain any references to company names, brand names, or commercial logos.
